In standard Odoo behavior, contact creation in a multi-company setup can lead to inconsistent company assignments. Some contacts are unintentionally locked to a single company, while others need to remain shared across multiple companies. This inconsistency often creates visibility issues, access limitations, and unnecessary duplication of contact records.

The Configure Default Company for Contacts SME introduces a clear and configurable mechanism to address this challenge.

A new checkbox, “Assign Company Automatically”, is added to each Contact Type configuration. This checkbox determines how the company field is handled when a new contact is created under that specific contact type.

When Assign Company Automatically is enabled:

  • The system automatically assigns the current user’s company to the contact at the time of creation.
  • The contact becomes company-specific and follows standard multi-company access rules.
  • This is ideal for customer, vendor, or internal contacts that should belong to a single company.

When Assign Company Automatically is disabled:

  • The company field is left empty during contact creation.
  • The contact remains shared and visible across all companies.
  • This is ideal for global contacts such as consultants, shared vendors, or cross-company partners.

This behavior is applied consistently across all contact creation flows, including:

  • Manual contact creation
  • Contacts created from Sales Orders, Purchase Orders, or CRM Leads
  • Contacts created via imports or automated processes (where applicable)

The feature does not override existing contacts and only affects newly created records, ensuring safe adoption without impacting current data.

Key Benefits

  • Improved Multi-Company Control: Eliminates confusion around contact visibility.
  • Flexible Configuration: Different behaviors can be defined per Contact Type.
  • Reduced Data Duplication: Prevents creating multiple copies of the same contact for different companies.
  • Cleaner Data Management: Ensures contacts are assigned correctly from the start.
  • User-Friendly Behavior: Removes the need for users to manually adjust the company field.

Example Use Case

A company operates multiple legal entities within Odoo:

  • Customers should always belong to the selling company.
  • Consultants and auditors should be shared across all companies.

Using this SME:

  • The Customer contact type has Assign Company Automatically enabled, ensuring company-specific visibility.
  • The Consultant contact type has it disabled, keeping contacts global and accessible across all companies.
  • Users no longer need to manually clear or assign the company field, reducing errors and saving time.

Conclusion

The Configure Default Company for Contacts feature brings clarity and control to contact management in multi-company Odoo environments. By allowing company assignment behavior to be defined per Contact Type, this SME ensures consistent data governance, prevents access issues, and supports both company-specific and shared contact scenarios—without complicating the user experience.
